Challenge:
A pharmaceutical client had a seven-hour face-to-face executive advisory board meeting scheduled with top opinion leaders as the COVID-19 pandemic struck.
Solution:
Due to the necessity of this business-critical meeting, MCI USA recommended the client to pivot to a virtual platform. With ten business days to execute, MCI USA provided input on restructuring the agenda, assigning pre-work to focus on essential discussion, and recommended the technology and format to use.
Results:
The agenda was set for three hours over lunch. To encourage attendance and provide a personal touch, a meal delivery was organized. A high-touch registration process and pre-work materials shipped to each participant. Presenter kits were shipped to the four speakers and branded backdrops were created for polished camera-ready look.
A demo and two rehearsals were scheduled to get everyone comfortable with the technology and review best practices. The meeting was an invite-only, locked event that required check-in with moderator for access. Questions and “raised-hand” functions were monitored by an MCI USA facilitator. The Whiteboard app was used in two breakouts for small group discussions.
The client expressed that the event exceeded all expectations and confirmed 15 additional virtual events (instead of six previously scheduled live ones) for the remainder of 2020 with MCI USA.
