Bridging Cultures and Knowledge: The 10th Mentor Breast Symposium 2024

This 2-day event aimed to provide a highly interactive platform that allowed participants to ask questions, share opinions, and connect with peers and key opinion leaders while allowing attendees to network and explore the city's vibrant culture. With the help of our suppliers, we set up and curated a diverse range of sessions, Masterclasses, and networking activities to create a dynamic and engaging symposium.  

Preparations
 

The heart of the symposium lay in its ability to bring together people with different perspectives and deliver valuable insights. The symposium took place at the Van der Valk Schiphol Hotel, where we set up the auditorium and conference rooms, coffee stations, and registration desks. Presenters were led through rehearsals and a pre-event dinner one day before the event to get them well-prepared and excited for what was to come.   

Program Overview 


From the start, airport logistics ensured a seamless experience for attendees from arrival to departure - with a designated meeting point at Schiphol Airport and transfers to either the Van der Valk Schiphol Hotel or the Hilton Hotel. 

Catering offered welcome and farewell lunches, morning and afternoon breaks, a networking aperitif, and dinner, with all dietary requirements accommodated. Communication planning for the event was comprehensive, covering pre-event, during-event, and post-event phases. Pre-event communications included sending out save-the-date notices, nominations and reminders, registration and reminders, and final information emails.  

The event also raised awareness for Operation Smile through a virtual engagement campaign on social media platforms using the hashtag #MentorBreast2024, amplifying its reach and impact. 

During the event, live support on the mobile app, session alerts, and social media interaction ensured smooth communication and participant engagement. Post-event communications included thank you and survey emails, content emails, and final reporting. 

Branding and Visual Cohesion
 

As the 10th Mentor Breast Symposium continues its tradition of elevating surgical excellence, its branding and design were intentionally crafted to evolve and localize with each passing year. The logo, featuring a dancer, symbolizes the beauty and strength of womanhood and was adapted to reflect the culture of Amsterdam, turning this year's symposium into a unique story that highlights the evolving journey of the dancer. 

Elements included: 

  • Custom logo with a tribute to Dutch culture 
  • Banners throughout the venue 
  • Slide templates for presentations 
  • Speaker background effects  
  • Lower thirds for speakers' identification  
  • Titles for each webinar section  
  • Video jingles for the introduction of each section  
  • Motion graphics  
  • Branded badges and signs  

 This thoughtful approach to branding helped build a bridge between the event and its audience, standing out as symbols of values, intentions, and commitments. 

Results
 

300 surgeons spent 2 days collaborating, exchanging knowledge, and learning from renowned speakers on various topics to meet the evolving needs of patients and strive for excellence in patient care.
